1. Introduction

In order to operate and manage zequiz.com (the Site)—acting as a controller under the GDPR (General Data Protection Regulation)—GolriGames (the Company) may collect data from the user(s).

ZeQuiz, hereinafter referred to as the “Service,” is a SaaS solution that allows the Customer to host interactive games for an audience of players in real time via web browsers. The Service is available on the websites dashboard.zequiz.com and api.zequiz.com , as well as the domain and subdomains of zequiz.live

In order to operate and manage the Service, the Company collects data from registered Users.

2. Preamble

The Company upholds the highest standards of privacy and takes all necessary measures to ensure the confidentiality and security of user data.

We will not use the information collected in any way, shape, or form for purposes other than the provision of the service. Furthermore, any other content you provide to us will be kept strictly confidential.

However, even if you decide to no longer receive communications from the Company, we reserve the right to contact you regarding the status of your account or any other matter that may affect our service to you and/or our records regarding you.

This Privacy Policy supplements the General Terms of Service for Registered Users.

3. Data Collected

3.1 Non-Registered Users

When users browse the Site and/or contact the Company, the Company may collect the following personal data from the user/visitor:

• First and last name
• Email
• Phone
• IP

3.2 Registered Users

When Users register for the service, the Company may collect or request the following personal data from them:

• First and last name
• Email
• Phone
• IP
• Mailing address
• Company tax information (VAT, name)

Banking data collected during a purchase via the Service is not stored by the Company but by Stripe, which manages payments.

4. Use

The Company uses the user’s personal data for the following purposes:

• processing contact and information requests
• statistical analysis
• marketing campaigns
• security
• fraud prevention
• smooth operation of the service
• provision and management of Services

5. Data Retention Period

Personal data is retained for the period strictly necessary for the purposes for which it was collected.

5.1 Contact information

Data used to respond to contact requests or inquiries is retained for a maximum of 1 year.

5.2 User account data

Data necessary for using the service is retained for the entire duration of the contract.

In the event of prolonged account inactivity, data may be deleted after a maximum period of 3 years without activity, unless otherwise required by law. Activity includes, in particular, logging into the account or using the service.

If the account is deleted, this data is deleted within a maximum of 15 days, unless otherwise required by law.

5.3 Data Collected Through Quizzes

Certain data may be collected by quiz organizers via the service.

This data is collected under the organizer’s responsibility. The Company acts solely as a technical service provider and does not use it for its own purposes.

5.4 Technical Data and Security

Technical data necessary for the security of the service (including connection logs and IP addresses) may be retained for a maximum period of 12 months.

5.5 Billing data

Data necessary for billing is retained for 10 years, in accordance with legal obligations.

6. Cookies

While users are browsing the Site, the Company may use cookies stored on the user’s hard drive.

When users visit the Site to browse, the Company asks users, via a banner on the Site’s homepage, whether they accept the use of cookies on their computer.

There are four types of cookies:

• cookies essential to the proper functioning of the site
• marketing cookies
• statistical cookies

6.1 Essential Cookies

Essential cookies are cookies that manage cookie consent (cookie_consent), cookies that manage your identification on the Service (cookies with the domain zequiz.com and names starting with zequiz_, locale, and user), cookies that manage Google’s Captcha protection mechanism (cookies in the _GRECAPTCHA series and other names with the domaingoogle.com) as well as YouTube’s (with the domain youtube.com).

6.2 Marketing Cookies

Marketing cookies are used to evaluate the effectiveness of marketing campaigns implemented by the Company via Microsoft Ads, Google Ads, or Facebook Ads.

These cookies are identified by the following names:MUID,_uetvid,_uetsid,_uetsid_exp,_uetvid_exp,MSPTC.

6.3 Statistical cookies

Statistical cookies collect information about how you use the site (cookies with the prefixes _pk, matomo, mtm). The data is stored and managed solely by Golrigames using the Matomo solution (a sovereign solution).

7. Communication

We will send you announcements strictly related to our services.

Based on the personally identifiable information you provide, we may send you a welcome email and newsletters. We will also communicate with you in response to your requests and to provide the services you request. We will communicate with you via email or phone, in accordance with your preferences.

You can opt out of receiving these communications through your personal account on the Services or by contacting us.

8. User Rights

In accordance with Articles 13 and 14 of the General Data Protection Regulation, Users have the following rights, summarized here:

• Request confirmation as to whether their personal data is being processed and, if so, to obtain access to their personal data and the following information:
• Request the purposes of the processing;
• Request the categories of personal data concerned;
• Request the recipients or categories of recipients to whom the personal data has been or will be disclosed, particularly if these recipients are located in third countries or are international organizations;
• Request the envisaged period for which their personal data will be stored or, if this is not possible, the criteria used to determine this period;
• Request that the data controller rectify or erase their personal data, restrict the processing of their personal data, or object to such processing;
• Request the right to lodge a complaint with a supervisory authority;
• Obtain a copy of the personal data being processed; for additional copies requested, the data controller may charge a reasonable fee based on administrative costs
• Obtain from the data controller, without undue delay, the rectification of their inaccurate personal data
• Have their personal data erased by the data controller without undue delay, if the grounds set forth in the GDPR, Article 17, apply, including, for example, if the data is no longer necessary for the purposes of processing or if the data is considered unlawful, and again, if there are no conditions described by law; and in any event, if the processing is not justified by another equally legitimate reason;
• To obtain a restriction of processing from the data controller, in the cases described in Article 18 of the GDPR, for example when they have contested the accuracy of the data, for the period necessary for the data controller to verify the accuracy of the data. They must be notified, within a reasonable time, even when the suspension period has expired or the cause for the restriction of processing has been eliminated, and the restriction itself has therefore been lifted;
• Obtain information from the data controller regarding the recipients who have received requests for rectification, erasure, or restriction of processing that have been implemented, except where this is impossible or involves disproportionate processing
• Receive their personal data in a structured, commonly used, and machine-readable format, as well as the right to transmit such data to another data controller without hindrance from the data controller to whom the data was provided, in the cases described in Article 20 of the GDPR, and the right to have their personal data transmitted directly from one data controller to another, if technically feasible.

To ensure that the rights mentioned above are exercised by the user and not by unauthorized third parties, the data controller may request additional information necessary for this purpose.

9. Legal Notice

The Company reserves the right to disclose Users’ personally identifiable information in accordance with the law and when the Company believes that disclosure is necessary to protect its rights and/or to comply with a legal proceeding, a court order, or a legal proceeding served on the Site.

10. General Security Policy

The Company is aware of your privacy concerns and strives to collect only as much data as necessary to make your experience as efficient and satisfying as possible, in the most discreet manner possible.

We adhere to generally accepted industry standards to protect all personal information submitted to us, both during transmission and once we have received it.

However, no method of transmission over the Internet, nor method of electronic storage, is 100% secure. Therefore, while we strive to use acceptable means to protect your personal information, we cannot guarantee its absolute security.

11. Processing Related to AI (Artificial Intelligence)

As part of the artificial intelligence features offered by the Service, we process only the content you choose to submit to these features.

Your account data (identity, contact information, billing details, settings, login logs, etc.) is never used by these AI processing operations. These operations are performed on your behalf, potentially with specialized service providers (OpenAI) subject to strict security and confidentiality obligations, without using your content to train models without your consent.

Prompts, outputs, and technical logs may be retained for traceability and security purposes for twelve (12) months, after which they are deleted or anonymized.
